THE ROLE
Vibee is seeking a highly motivated and proactive Partnerships Coordinator to join the Property Partnerships team. As a member of the Property Partnerships team, this role will play an important part in the management of hotel and destination property relationships for our Curated Experiences and Integration Events. This role will support the Property Partnerships team in sourcing, vetting, and managing hotel and resort relationships, alongside executing events at various destinations worldwide. This is not a remote position.
RESPONSIBILITIES
• Coordinate all internal project management systems and other communication tools related to each Integration Event and Curated Experience
• Delegate tasks to team members via the internal project management system (Asana) in coordination with the related department
• Assist with maintaining day-to-day flow of projects for Integration and Curated events, document changes, and revisions to projects as required
• Reconciling folios, room inventory, usage, and all event charges
• Assisting with and communicating rooming lists, fan room needs, early check-in, or late check-out, etc.
• Support Property Partnerships team with package event and inclusion recommendations, including but not limited to providing financial estimates, procuring quotes, and contributing to Package Proforma financial forecasts
• Work with Elevated Experience team to facilitate event advances and logistics
• Assist with creating event specific documentation and managing department shared drives, including the organization and maintenance of vendor agreements, contracts, files, etc.
• Participate in meetings and send updates to stakeholders and team members to ensure projects are running smoothly and risks are mitigated
• Provide general administrative support and perform diversified administration duties
• During busy event times, duties may expand to providing onsite support
• Flexibility to perform other job-related duties as required
QUALIFICATIONS
• High School Diploma or equivalent with a Bachelor's degree considered a bonus
• 2+ years of experience in hospitality, live events, or customer service industry
• Experience using Microsoft Office and G-Suite programs
• Must be able to perform in a fast-paced, multiple-demand work environment
• Excellent oral and written communications and organizational skills
• Must have problem solving skills, active listening skills, and be able to multitask
• Ability to work evenings & weekends as required
• Ability to travel for events both domestically and internationally
WORK ENVIRONMENT
• Must be able to tolerate loud noise levels & busy environments
• May work in drastic temperature climates onsite at our events
• Must be willing to work during evening and weekend hours, as required, to meet deadlines
• Must be willing to travel extensively both domestically and abroad
• Must have a current passport and be able to travel worldwide without restriction
• Must be able to continuously stand or walk
• Must be able to bend, squat, climb stairs and lift frequently
• Must be able to lift up to 20 pounds occasionally
• May occasionally walk on slippery or uneven surfaces
• Must be able to tolerate loud noise levels in the work environment
