THE ROLE

Vibee is seeking a highly motivated and proactive Elevated Experience Coordinator to join the Elevated Experience team. As a member of the Elevated Experience team, this role will play an important part in the experiential and event inclusions program for Destination Experiences and Integration Event Packages. This role will support the Elevated Experience Director and Managers in planning and onsite execution of Destination Experiences and Integration events and package inclusions. This is not a remote position.

RESPONSIBILITIES
• Setup and coordinate all project management systems and other communication tools related to each Integration event
• Support the Production department on project management systems and communication tools related to Curated Events
• Delegate tasks to team members via the internal project management system (Asana) in coordination with the Elevated Experience, Partnerships, and Talent teams
• Assist with maintaining day-to-day flow of projects for Integration and Curated events, document changes, and revisions to projects as required
• Work closely with the Elevated Experience team to schedule onsite event staff for Integration and Curated Events
• Support Elevated Experience team with package event and inclusion recommendations, including but not limited to providing financial estimates, procuring quotes, and contributing to Package Proforma financial forecasts
• Work with Elevated Experience team to facilitate event advances and logistics
• Assist with coordinating design, budget, ordering, shipping, and preparation of physical package inclusions, ranging from merchandise inclusions to welcome gift bags
• Assist with creating event specific documentation and managing department shared drives, including the organization and maintenance of vendor agreements, contracts, files, etc
• Participate in meetings and send updates to stakeholders and team members to ensure projects are running smoothly and risks are mitigated
• Support on creation of event settlement, including gathering and submitting invoices for payment, preparation of settlement packages, etc
• Provide general administrative support and perform diversified administration duties
• During busy event times, duties may expand to providing onsite support
• Flexibility to perform other job-related duties as required

QUALIFICATIONS
• High School Diploma or equivalent and a Bachelor's degree is considered a bonus
• 2+ years of experience in hospitality, live events, or customer service industry
• Experience using Microsoft Office and G-Suite programs
• Must be able to perform in a fast-paced, multiple-demand work environment
• Excellent oral and written communications and organizational skills
• Must have problem solving skills, active listening skills, and be able to multitask
• Ability to work evenings & weekends as required
• Ability to travel for events both domestically and internationally
• Possess a valid passport
• Strong technical skills in Microsoft Excel and Word, as well as Google Docs and Sheets
• Must be an active problem solver, instilled with a sense of urgency for projects large and small

WORK ENVIRONMENT
• Must be able to tolerate loud noise levels & busy environments
• May work in drastic temperature climates
• Must be willing to work during evening and weekend hours, as required, to meet deadlines
• Must be willing to travel extensively both domestically and abroad
• Must have a current passport and be able to travel worldwide without restriction
• Must be able to continuously stand or walk
• Must be able to bend, squat, climb stairs and lift frequently
• Must be able to lift up to 20 pounds occasionally
• May occasionally walk on slippery or uneven surfaces
• Must be able to tolerate loud noise levels in the work environment
