THE JOB
We are seeking a highly organized individual with dynamic interpersonal skills to assist the President of Live Nation Women with executive, administrative, and booking duties and in managing relationships in the gender space and live concert industry. The role will also serve as a key member of the Live Nation Women team and will support projects and processes that drive Live Nation Women's mission of powering progress for women.
WHAT THIS ROLE WILL DO
• Proactively manage the Executive's communications, busy and complex calendar, travel and expenses.
• Schedule and coordinate meetings or other events as directed
• Proactively manage the workflow of the Executive, including meetings, correspondence, and milestones.
• Communicate with high level contacts inside and outside the company, including booking agents, Artist Managers and leading industry professionals.
• Help organize critical work projects for the Executive and Live Nation Women. Prioritize with the Executive and other leadership to make sure that all objectives are addressed and handled in a timely manner.
• Work with members of Live Nation Women and other internal departments as requested to promote departmental objectives.
• Compose, type, and prepare correspondence, memos, PowerPoint presentations, confidential materials, etc. of the highest quality.
• Directly coordinate, or coordinate with Travel Department, travel arrangements including flights, hotels, and car services as requested and create itineraries, including all confirmations and contact information for flights, hotel and transportation. Updates itineraries and check for new information pertaining to travel. Prepare and update office travel schedule.
• Coordinates, administrates and tracks show event contracts, payments and other paperwork from beginning to end.
• Provide general administrative support and perform diversified administrative duties; prioritize, and manage projects with minimal supervision.
• Run errands as requested by assigned executive(s).
• Multitask in a fast-paced environment and remain organized, with attention to detail.
• Other duties as assigned by management
• Interface with agents and venues to verify availability and build a calendar of events
• Manage internal documentation using internal booking systems, calendars and ticketing schedules.
• Assist in administration for booking amphitheaters, arenas, and theaters.
WHAT THIS PERSON WILL BRING
• Multitask in a fast-paced environment and remain organized, with attention to detail.
• Proficient use of Microsoft Outlook (including group scheduling) and of Microsoft Office to include Word, Excel, and PowerPoint
• Ability to navigate the internet as a communication and research tool
• Professional level of verbal and written communication skills
• Possess a strong work ethic with a high sense of responsibility in an ever-changing environment
• Must be able to handle sensitive matters and exercise excellent judgment
• Ability to work independently and within a team to juggle multiple prioritized tasks
• BA/BS, or equivalent experience
• A minimum of 2 years' experience as an assistant
• Experience in the music industry preferred
