Job Description

THE JOB

The Event Coordinator role supports all staff in the State Office assisting Client Managers with event management requirements. The role is also responsible for coordinating various aspects of event day and box office administration as well as liaising with other internal departments as required. This is a 12-month full time, fixed contract position.

WHAT YOU WILL BE DOING

Event Management

You will support Client Managers in ticketing jobs including reclassing, printing tickets, reporting, maintaining on-sale information.

Co-ordinate post event reporting for major events.

You will be required to use the Host ticketing system to complete ongoing requests from clients for ticket processing and reporting.

Administration

You will ensure all administrative duties are completed in the office including mail, ticket fulfilment and overall office maintenance.

Marketing

You will create and schedule marketing activity for events as required.

You will attend weekly marketing meetings as a Client Management representative as required.

Social Media activities as required.

Box Office

Provide onsite supervision or training support for Box Office operations as required.

You will coordinate Box office support requirements as required particular in instances when Outlet Coordinator is on leave.

In conjunction with the Contact Centre planning and Resource Manager, coordinate staff rosters for event days, continuously communicating with Client Managers about requirements.

You will ensure the casual staff database is maintained with accurate information.

You will ensure all box office administration is complete before event day, including price sheets, time sheets, event information forms, stationary, signage, balance sheets etc.

You will ensure all box offices are set up correctly for ticketing on event day and assist in management of box operations on event days.

General

Be available to work flexible hours, including weekends and public holidays.

Adopt a team approach in order to maintain the quality and consistency of the team's output.

In certain instances, the role may be required to act in a client management capacity for small events, periods of low activity and in instances of client management annual leave.

Carry out other duties that may be required by the Client Management team.
