THE JOB

This individual will be dedicated to supporting, running and administrating the office of the Senior Vice President, Finance and provide personal assistance to the wider team as directed by the SVP Finance.

The Executive Assistant will support in areas such as preparation for meetings, travel logistics and general administration, including but not limited to, diary management and scheduling, correspondence, filing, obtaining approvals, preparing payment requests and ad hoc Finance related duties as needed in addition to the completion of special projects and reports. Effectively communicating and interfacing with people at all levels inside and outside the Company and within the industry.

The Executive Assistant will be required to support on key business matters, handle selected personal matters and many responsibilities in-between. The Executive Assistant must be intelligent, personable, proactive and above all be results focused and detailed orientated (no matter how small the task).

The individual in this role must be able to exercise high levels of discretion and possess excellent

communication and interpersonal skills. The individual will prioritise workloads and act as a filter for all calls and emails.

Responsibilities
• To assist by carrying out administrative and private office assignments as required.
• Extensive diary management.
• Processing expenses for the Senior Vice President on a timely basis, and additionally all direct

reports, if needed.
• Booking UK and International travel on behalf of the Senior Vice President, and additionally all

direct reports, if needed.
• Screen calls/incoming mail – be an effective gatekeeper; take messages efficiently and

accurately; receive visitors.
• Arrange and co-ordinate internal and external meetings and keep relevant email distribution

lists up to date; distribute minutes and decks after meetings.
• Attend meetings when appropriate and record any actions and provide timely follow up of these,

chasing other people within the organisation as appropriate.
• Maintain and organise filing and archiving where necessary and retain month end checklists.
• Prepare payment requests for approval, assist in obtaining signatures.
• Liaise with the Financial Accounts team on all internal and external Audit requests, as well as the Tax department with certain quarterly reporting requirements.
• Collating information and setting up project events using the Oracle Reporting System and assist with tracking deal approvals via the Rome system.
• Liaise with Facilities to ensure adequate supplies available to the team.
• Help plan and organise special events such as conferences, team away days and social events
• To assist in all administrative requests and additional duties as required by business needs and
objectives.

Requirements

Skills / Knowledge / Experience
• Proven demonstrable experience in a role at this level within a fast-paced and varied
• environment.
• Advanced IT skills including demonstrable experience with Office (Excel, Outlook, PowerPoint,
• Word etc.).
• Excellent organisational skills and ability to prioritise effectively.
• Professional telephone manner.
• Experience in a self-led role where tasks have been successfully navigated with limited direction.
• Extremely well organised.
• Excellent attention to detail
