Job Description
The Associate Production Manager for Guest Services will provide day-to-day administrative support to the Director of Customer Experience, and the Guest Services Production Team. This includes the advancement of all on-site Guest Services staff, community partner, and vendor needs, inventory management, budget tracking, and the distribution of information to Guest Services personnel, and external departments.

Responsibilities:

Advance
• Advance and fulfill all Guest Services staff and vendor onsite needs including but not limited to:
• Contacts, credentials, meals, radios, bikes, golf carts, parking passes
• Advance various production elements as directed by Guest Services Production Director and/or Manager
• Manage Guest Services warehouse and signage inventory, trucking requests, and event delivery and storage
• Collect, Maintain, and keep information organized
• Order onsite Guest Services production expendables and supply needs
• Manage Guest Services staff and vendor travel submission, and onsite staff parking and transportation needs
• Assist Guest Services Production Team in building event details throughout the year

Support
• Support the Guest Services Production Team with all onsite festival communication
• Monitor radio communications
• Anticipate and fulfill Guest Services vendor needs as they arise
• Assist Guest Services Production Team in management of onsite Guest Services office
• Act as hub between Guest Services Production Department and Guest Services Vendors, Community Partners, and Staff
• Manage information flow between Guest Services and other departments
• Collect, Source, Maintain and Distribute Information to On-site Personnel
• Staff Schedules and Assignments
• Staff Training Materials and Info Books
• Event FAQ's, Program Plans, and Daily Rundowns
• Event Operations and Production Notices
• Schedule Guest Services Production Team meetings virtually, in the office, and onsite

Post Event
• Manage Guest Services Production Inventory
• Location to be stored
• Update quantities and note supply levels
• Replenish and Add to Inventory as needed
• Compile Staff After Action Reports and Community/Positive Impact Metrics

Accounting/Payroll/Contracts/Budgets
• Develop close working relationship with Festival Accountant, Legal, Contracts, Payroll, and Risk Manager
• Oversee Guest Services Production and Staffing budget tracking for each event
• Manage Festival Staff Payroll Submission and onboarding process
• Manage Guest Services vendor contracts and accounting relationships
• Manage specific budget line items as needed such as Expendables, Travel, etc.
• Settle all Guest Services production accounts payable and receivable
• Collect and maintains all Guest Services production invoices and sales reports
• Check and verify invoices against overall budget
• Submit P.O. requests for approvals
• Monitor and track budget line items for staff and production expenses
• Maintain clear records for future meetings/references

Qualifications
• Undergraduate degree or professional experience equivalent preferred
• Proficient in Google Workspace and MS Office products (Word, Excel, and Outlook)
• Strong verbal and written communication skills
• Exceptional attention to detail
• Motivated self-starter who thrives in a deadline-driven environment and has exceptional follow through skills
• Ability to source and manage assigned festival staff
• Ability to be punctual and meet deadlines
• Ability to prioritize and multi-task in a fast-paced environment
• Ability to handle stress and pressure
• Capable of working positively with staff within the company and industry associates outside of the company
• Capable of maintaining confidentiality
• Solid computer/database and organizational skills
• Ability to travel
• Flexibility in work hours and availability, especially during festivals and major projects
