THE JOB – ADMINISTRATIVE ASSISTANT
US Concerts is seeking is seeking an Administrative Assistant who will be responsible for assisting Coca-Cola Roxy venue management in all aspects of business operations.
WHAT THIS ROLE WILL DO
• Schedule/coordinate meetings, conference calls and appointments
• Handle expense report processing
• Assist in processing of venue contracts, artist contracts and co-promote agreements for events
• Assist in handling financial arrangements (show deposits, settlements, tracking expenditures and budgets) for events in various venues
• Compiling and maintaining all event show folders with contracts, Certificates of Insurance, and general event correspondences - including final artist and venue settlement information
• Manage ticket counts and report on-sale ticket counts and final show settlement figures
• Gathering and distributing show information to staff, venues, and artist teams
• Help coordinate team outings/events as needed
• Live event coverage including financial settlement with venue and artist teams
• Field general inquiries and re-direct to the appropriate party
• Compile venue finances for weekly profit and loss reports
• Provide general office upkeep, which includes but is not limited to:
• order and refresh office supplies
• receive/sign for UPS/Fed-Ex deliveries
• prep spaces for meetings
• Develop office systems, including venue accounting, on-boarding process for new employees, lost & found, charity donations, phone tree, IT-related systems
• Represent the company in an appropriate manner at assigned meetings, events and business-related functions
• Assist with venue projects when necessary
• Assist and support venue staff in any of their job functions, as needed
• Other duties as assigned
WHAT THIS PERSON WILL BRING
• 1-2 years of administrative experience.
• General music and industry knowledge
• Eagerness to support others (in venues and office)
• Ability to provide leadership, engage in positive interaction with staff and guests, prioritize, organize, motivate staff, problem solve, delegate, follow-up, communicate and diffuse possibly volatile situations with tact
• Great attention to detail and ability to work against deadlines.
• Strong strategic thinking and creative problem-solving skills.
• Excellent verbal, written and interpersonal communication skills.
• Acute sense of judgment, tact and diplomacy.
• Position requires sitting, typing, walking and occasionally lifting 25 lbs. plus using proper lifting techniques.
• Ability to work flexible hours, including nights, weekends, and holidays.
• High school diploma required; college degree preferred
• COVID-19 vaccination will be required for this position subject to legally valid exemptions
