Measurement & Reporting:
• Monitor reporting dashboards and analytics tools for the department, performing regular spot QA’s and accessing information for team and stakeholder updates
• Draft internal communications and project updates for key stakeholders across the division and company, including email, newsletters, scorecards, case studies and presentations, leveraging both quantitative and qualitative insights to tell a story that is clear, concise and compelling
• Keep track of trends in research, analytics and data and relevant competitive updates: Compile roundups for department and broader Motion Picture Group (where applicable)
Meeting & Executive Support:
• Support the management of department calendars: Plan, coordinate and schedule all meetings for department head. Proactively protect and prioritize department head’s time. Coordinate and schedule all external meetings for department teams and priority internal meetings. Anticipate and resolve issues as needed
• Prepare and disseminate supporting materials and agendas for priority internal meetings and external meetings, ensuring both are received in time for participants to be adequately prepared
• Sit in on key internal and external meetings, taking notes and actively participating in brainstorms and problem solving where appropriate
• Compile meeting recaps for priority internal meetings and external meetings upon request
• Complete all business expense reports for department head and travel plans for department. Follow up as needed to ensure requests and reports are processed on time
• Provide strategic and operational support to department head as needed. Perform ad hoc duties for department (upon request). Partner with executive assistant for COO to work on select projects and provide backup when needed
Project Management & Department Operations
• Help department head with tracking and oversight of all active projects: Secure regular updates on project deliverables, circulate updates and uphold key deadlines. Lead biweekly sprint recap/planning sessions to help keep department on track. Flag department head when issues arise or deadlines are missed
• Run day-to-day management of department’s work tools (eg, Slack, Asana, Box) to ensure project updates are being entered frequently, that questions/issues are being addressed and that best practices and formatting requirements are being followed
• Proactively note when workflows, processes or communications are at risk of breaking down (or starting to do so), flagging department head so they can address and proposing solutions where applicable
• Drive select projects independently as needed
Qualifications:
• 1-2 years’ experience in project management for a marketing, strategy, data, innovation or analytics team required. (Can include internships and college intensives)
• Bachelor’s degree or equivalent educational experience required. (Coursework preferably consisting of Business, Statistics, Data Science, Analytics, Engineering, Innovation)
• Excellent organizational and project management skills, including ability to juggle multiple initiatives and prioritize based on urgency and value to the business
• High degree of trustworthiness and discretion – can uphold confidentiality, composure and diplomacy at all times and is able to navigate sensitive situations and materials
• Polished written and verbal communication skills – is able to communicate clearly and concisely to executives of all levels, with an exceptional attention to detail
• Strong ability to build relationships and influence with internal and external stakeholders through a combination of executive presence, collaborative approach and consistent follow-through
• Combination of growth mindset, sound judgment and good instincts – knows when to follow established policies and procedures, when to take action and when to ask for help
• Data- and measurement-driven mindset, comfortable with both quantitative and qualitative metrics and translating intelligence into insight
• Interest in entertainment (particularly movies) preferred
• Comfort with workplace technology tools required – preferably Google Analytics 360, Box, Tableau, Slack, Asana, Teams, WebEx, Zoom
• Familiarity with the following a plus (but not required): Netbase, Affinio, ListenFirst, Panoramic, Adstream, Pix, Salesforce Marketing Cloud, YouTube Analytics, R, Python, SQL
