THE ROLE

The Ground Control & HX Operations Specialist will oversee department logistics and maintain and improve existing staffing / inventory management tools. This position will oversee deployment logistics at small concerts and will directly support operations teams on site at larger festivals. The ideal candidate for this role is an effective multitasker who works well under pressure and is familiar with festival operations.

RESPONSIBILITIES

Pre-Event
• Work with department head to create festival zone map layouts
• Once layout is confirmed, build out zone maps, emergency locator signage plan
• Complete site advances and return to the Load-in team by all posted deadlines
• Complete Experience element advances as needed for turf / lighting / etc. by all posted deadlines
• Complete pull sheets and coordinate trucking with the Insomniac warehouses to ensure all needed inventory is on site at each show
• Partner with CAD designer to ensure that all GC/HX site assets are properly laid out and match advances which includes layouts for Lost & Found, Oasis, GC/HX Base, and any other relevant department assets
• Complete signage advances for each show to ensure needs for site assets and Emergency
• Locator Signage needs are met and printed properly
• Oversee inventory counts for all equipment in Las Vegas and Orlando warehouses, as well as any gear bags transported for smaller concerts
• Build Lost & Found portal with approved vendors, ensure any after-action developments from previous events are implemented
• Create detailed to-do lists that mirror the department build schedules provided by department manager
• Create deployment schedules for operational staff based on advanced staffing needs from other departments
• Review festival staff guide, ensure that all department information is accurate and up-to-date

During Event
• Arrive on the first day of department load-in to receive inventory
• Assist with build for GC/HX Base, Oasis, Lost & Found, and other site assets
• Oversee emergency locator signage installation to ensure accuracy
• Build radio inventory tracking systems to ensure accountability and returns of all radio equipment
• Oversee all Lost & Found operations to create more efficient improvements to enhance overall experience
• Walk through interior & exterior designs, adjust layouts as needed to ensure proper organization and operational flow
• Check on Lost & Found teams throughout the show to ensure organization and customer service standards reflect Insomniac's requirements
• Act as onsite representative for Lost & Found vendors to develop systems to match company needs
• Oversee supervisors for Ingress/Egress & Special Ops Teams
• Ensure break schedules are compliant with staffing requirements
• Ensure break schedules match budgetary outlines and match catering hours
• Review deployment schedules, ensure that they match required posting needs
• Serve as direct contact for Supervisors should they encounter any situations that need to be escalated
• Oversee Logistics Coordinator Team for larger festivals
• Ensure team has a proper schedule for timely completion of all required tasks
• Oversee Oasis build and ensure design matches expectations and all codes are upheld
• Make sure that radio distribution and inventory management is maintained
• Review site assets with team and ensure all builds meet department expectations
• Work with other departments to address specific needs and troubleshoot issues by allocating staff to specific pressure points as needed
• Resolve escalated issues that require operational adjustments, and coordinate with other departments as needed
• Take detailed notes on staff and supervisor performances, take reports as needed for staff issues
• Notify HR of any illness or disciplinary issues as needed
• Oversee check-out process to ensure that equipment returns, uniform check-out, and sign-out sheets are accurate and accountable

Post-Event
• Load-out each event, ensure that inventory is properly counted and labeled for next event or return destination
• Build out gear bags as necessary for next destinations
• Track all Lost & Found inventory and ensure all shipments are received successfully
• Track item return systems, conduct follow-ups with vendors to ensure item return timelines and customer service align with Insomniac standards
• Ensure all site assets are properly cleaned and all quartermaster items are collected and organized for return to their respective departments
• Engage with staff via department Facebook groups to audit questions and field posts for inappropriate content
• Compile receipts from department purchasing cards, and submit all coded expenses by deadlines implemented by the Finance Department
• Compile detailed after action reports after each show, outlining improvements for future events both internally and externally

QUALIFICATIONS
• Must have extensive experience managing a large-scale team at Insomniac
• 4+ years of music festival production and guest services experience is required
• Certifications to operate heavy equipment is a plus
• Ability to successfully handle and complete multiple competing assignments and deadlines
• Must be able to professionally interact with all levels of individuals in a courteous manner and be able to de-escalate situations before they become unpleasant
• Must be able to perform mild to moderate physical duties as required for this position
• Must be able to stand on your feet for up to four hours at a time and walk long distances
• Must be able to lift 20lbs

WORK ENVIRONMENT
• Must be able to tolerate loud noise levels & busy environments
• May work in drastic temperature climates
• Must be able to bend, squat, climb stairs and lift frequently
• Must be able to lift up to 20 pounds occasionally
• May occasionally walk on slippery or uneven surfaces
• Must be able to stand on your feet for up to four hours at a time and walk long distances
• Must be willing to frequently work and travel to events during evening and weekend hours, as required, to meet deadlines and work events
