Job Title:Event/Office Assistant
Location:Burbank, CA
Reports To:Event and Program Manager
FLSA Status:Full-Time (non-exempt)
Position Summary:
A Full-Time position to help with general office duties, particularly in supporting such activities as event marketing, production, email tracking, membership communications, awards platform monitoring, administrative support, and asset management. Must be able to participate in evening and weekend events.
Essential Duties and Responsibilities:
· Assist in monitoring and answering HPA email and phones
· Support the Event and Program manager at all HPA events
· Assist in coordinating volunteers
· Enter and maintain our event database and client lists
· Take notes/minutes at committee meetings
· Work closely with Membership team, including member communications
· HPA Awards – track entries, help entrants with registrations, check on the completeness, prep weekly entry summaries, prep ballots and judging materials for judging sessions
· HPA Tech Retreat – assist with planning, logistics, programming, and on-site event administration
· Work closely with the marketing team on newsletters, social media, and email blasts
· Scheduling of meetings and maintaining company calendar
· Assist the Digital Manager with content creation and editing, website posting, and asset management
· Coordinate and assist with virtual events, zoom meetings, and remote collaborations
Competencies:
· Event production experience preferred
· Bachelor's degree in business, marketing, events, communications, or related field
· Advanced computer skills with proficiency in Office 365, Adobe CC, MailChimp, and WordPress
· At least two years of professional work experience
· Attention to detail, dependable and strong organization skills are a must
· Ability to work well under pressure, meet tight deadlines, manage multiple projects and expectations, and maintain a sharp focus while managing competing priorities
· Ability to work overtime, nights and possibly weekends with short notice
· Ability to effectively communicate and interact with employees at all levels
