JOB DESCRIPTION

The Coordinator of Building Services will report to the Director of Building Services to maintain daily operations on the Fox lot and other locations as assigned. This is an extremely demanding position requiring commitment, dedication, and organization.

A SNAPSHOT OF YOUR RESPONSIBILITIES
• Serves as client single point of contact for day-to day moves/relocations
• Oversees move scheduling/execution from the initial request through to completion
• Enters move data into the Studio CAFM system (FMI)
• Work with IT/Telecom daily on relocation requests
• Work with the parking Director on move-related parking issues
• Coordinate with the internal move team and external moving companies as needed
• Acts as liaison between Studio Occupants, Facilities, Production Services, vendors, and Building Services by providing excellent customer service and swift resolution to questions and concerns
• Ensures vendor compliance with Studio standards
• Process employee/client generated service tickets for facility maintenance, follow up on same to assure all work was completed satisfactorily, and report back to the requestor upon completion
• Responsible for third party billable log
• Verify, code and input vendor invoices into the Studio AP system for processing
• Assist with conference room setup/tear down for meetings and special events
• Assist the Move Coordinator with on lot moves and relocations, assure that furniture, personal items, phones, computers, AV equipment, and other office support equipment is set up and operational for both new tenants and existing tenants
• Order supplies and materials as necessary
• Submit key, access badge, phone, computer, and network drop requests
• Work with onsite employee Gym staff on requests and maintenance items.
• Point person for Production move requests
• Other administrative/clerical tasks as assigned

WHAT YOU WILL NEED
• 4+ years minimum experience supporting moves/relocations on campus, multi-tenant facility, production facility, or major studio
• Must have excellent project management/logistics skills
• Must be knowledgeable of various furniture manufacturer's systems and all associated components
• Exceptional interpersonal communication skills, verbal and written
• Must be able to work extended hours and off-hours as necessary to accommodate client/project requirements
• Must have excellent analytical skills (must be able to review and retain a multitude of information and make decisions based on needs and budget concerns)
• Previous experience creating and reading floor plans and space planning
• Excellent knowledge of budgets and budget accountability for both operating and capital budgets
• Must have excellent math skills and understand basic accounting functions
• Excellent computer skills i.e.; Microsoft Outlook, Word, Excel & AdobePro
• Must be proficient in MS Project
• Must demonstrate the ability to resolve conflicts quickly and professionally under pressure
• High level of motivational and organizational skills
• Must be resourceful and solutions-oriented
• Must be self-directed and autonomous in performing duties
• Must respond to unforeseen situations, unplanned events or requests, last-minute changes with grace and professionalism

• Bachelor's Degree
• Proficiency with Monday.com
• Comfortable working with numbers
• Exceptional customer service skills
