JOB DESCRIPTION

Fox Entertainment is seeking an Assistant, Operations Creative Advertising to join our team in Los Angeles. As the Assistant, Operations Creative Advertising, you will support the Senior Vice President of Broadcast at FBC. Ideally, you will have experience supporting the president of production and development for an entertainment company. You will be responsible for managing a wide range of administrative and creative duties. Additionally, you must be able to work independently with little or no supervision, as well as with others, and must be diplomatic, exceedingly well organized, flexible, and enjoy the challenges of supporting both business and personal matters.

A SNAPSHOT OF YOUR RESPONSIBILITIES
• Manage and juggle heavy calendar scheduling including multiple meetings and changes, answer multiple phone line
• Reconcile invoices, track budgets, and complete expense reports
• Process and code new invoices through Coupa for approval
• Ensure prompt payment by monitoring invoice status
• Coordinate complex executive meetings and events
• Facilitate the onboarding of new vendors
• Work with finance to resolve any discrepancies or problems with vendor payment
• Handle and maintain highly confidential and sensitive information
• Assist any vendors that have inquiries about payment in a friendly and timely manner
• Prepare a monthly FLASH report for finance which tracks our Outside Creative / Ops costs
• Placing phone calls to agents, managers, and production companies to help reduce clearances, which would include talent clip clearances
• Organize and distribute music cue sheets to publishing societies
• Filing and distributing production memos, status reports, and miscellaneous materials
• Track and Code all AFTRA tickets and submit to finance for payment
• Ensure all paperwork for talent is accurate and that submissions are made promptly
• Maintain supply of necessary office gear, order / reorder from Staples when appropriate
• Track and file all receipts from card purchases
• Submit reports as required to FOX AmEx liason
• Help organize meetings for various staff to meet with internal groups, production companies, record companies, and outside vendors-may include ordering food

WHAT YOU WILL NEED
• 2 years of experience supporting at the executive level
• Time management skills and attention to detail are crucial
• Experience scheduling travel arrangements including airfare, hotel, car arrangements, etc.
• Ability to interact with employees at all levels in a fast-paced environment, while remaining flexible, proactive, resourceful, and efficient
• Capability to Manage and juggle heavy calendar scheduling including multiple meetings and changes, answer multiple phone lines
• Strong decision-making ability and attention to detail
• A high level of professionalism and confidentiality
• Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook
• Ability to multi-task and reprioritize at a moment's notice
• Ability to complete tasks within deadlines, and to work well under pressure while managing a large workload
• Ability to interact with employees at all levels in a fast-paced environment, while remaining flexible, proactive, resourceful, and efficient
• Expert-level written and verbal communication skills
• Positive attitude and willingness to take on new tasks
• Strong interpersonal skills and ability to work as part of a team
