Onboarding Coordinator (Contract)

What You'll Do

The Onboarding Coordinator is the primary point of contact for candidates after they have accepted an offer of employment. The Onboarding Coordinator takes ownership for any actions needed with the onboarding process directly or supporting teams to ensure our new hires onboard from Offer Accept steps through successfully starting their scheduled day one. Additionally, this role will support the new hire experience at Epic through the first 90 days of employment as well as support with relocation efforts. Responsibilities will include daily interactions with Recruiting, HR, Immigration, Legal, Employment Compliance, IT, and Hiring Leads across all geographies/time zones.

The ideal candidate will be an organizational guru, work effectively with multiple internal teams and external candidates, possess excellent written and oral communication skills and have the ability to work quickly but still thoughtfully. We expect the Onboarding Coordinator to be a passionate candidate advocate with extreme attention to detail, the ability to effectively prioritize, tackle ambiguity, multi-task and apply high judgement.

Role & Responsibilities
• Monitor and support all pre-onboarding processes i.e. all elements between point of offer accept through day one for all new hired employees. These elements include, but are not limited to; relocation and immigration processing with external vendors, background check monitoring and troubleshooting, mandatory document verification, start date change management
• Support with all pre-onboarding readiness: IT equipment, orientation coordination, and travel as needed
• Ensure candidates are well informed of what to expect during their pre-onboarding journey and are kept fully informed of the status of their pre-hire requirements.
• Support general candidate questions
• Complete and distribute reports as needed by manager and key stakeholders
• Summarize and communicate changes to recruiting and/or business teams when required.
• Monitor and track the completion of pre-onboarding steps/status on systems and platforms to ensure new hires successfully start on their scheduled first day
• Help implement designed pre-onboarding standardized processes and assist with process documentation and revisions as needed
• Assist with process improvement for business growth/scaling related to pre-onboarding and relocation

Basic Qualifications
• 2+ years of HR work experience in a candidate or customer-facing role
• Experience with HRIS systems
• Demonstrate excellent judgment, discretion and sensitivity when dealing with confidential information and high profile candidates
• Strong verbal and written communication skills
• Ability to multitask, manage multiple relationships and prioritize effectively
• Ability to operate in a fast paced, changing and highly ambiguous environment
• Strong attention to detail - accuracy is essential
• Desire to continuously improve the candidate/employee experience and focus on providing a high level of customer service

Preferred Qualifications
• 3+ years relevant HR/Recruiting experience or prior experience with a professional services firm or similar knowledge
• Proven track record of diagnosing and solving complex problems in a fast-paced, ambiguous environment; understand when to take ownership of a decision and when to involve other parties or escalate
• Experience partnering with and influencing a global team and customer base
• Multi-state and country HR knowledge or the ability to learn and scale quickly
• Basic or high level familiarity with visa/immigration processes
