Executive Assistant, Marketing & Publicity

Job Description

Key Responsibilities:
• Handle internal and external communications between executives, partners, territories, press and distributors
• Proactively manage the executives' calendar; screen incoming requests to determine priority level and schedule internal and external meetings via Microsoft Teams
• Organize and track marketing activity calendar, nomination forms, screening reactions and request forms
• Review, compile and distribute press breaks, distribution lists, screening reports, reviews, and wrap-ups to executives and filmmakers
• Prepare monthly expense reports and vendor invoices for review & submit to accounting for approval and payment
• Provide publicity support across all film titles

Key Competencies:
• Bachelor's Degree or equivalent experience
• Knowledge or experience in the media sector. Project management experience is a plus
• Highly organized and able to manage multiple tasks under tight time frames
• A self-starter who can work both independently and function well within a team
• Demonstrate strong independent judgment and a high degree of interpersonal effectiveness to be able to deal with stakeholders across various levels of the organization
• Demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating needs is essential
• Ability to build relationships and interact respectfully and confidently with internal executives, executive assistants and external contacts
• Ability to manage efficiently in a fast-paced environment and ensure deadlines are met by prioritizing workflow
• Positive, collaborative team player
• Excellent written and oral communication skills
