Job Description
Position Summary:

As Payroll & HR Coordinator the ideal candidate will be extremely detail oriented, proactive and have strong communication skills. Some responsibilities will include; assisting with administrative and accounting tasks, benefits, compliance, and working closely with our HR Information System (UltiPro). As someone who is committed to excellence, you will manage a varied workload, and understand all different aspects of HR during the employee lifecycle that exists within our dynamic work environment.

Payroll Administration
• Work with Payroll Manager to ensure US payroll is processed accurately to comply with divisional, corporate and government policies and procedures
• Liaise with employees and supervisors to identify discrepancies and answer questions regarding non-exempt employee timesheets on a bi-weekly basis
• Assist with internal and external monthly reports (i.e. headcounts, vacation accruals, overtime, government, etc.)
• Support the department with internal and external audit procedures as necessary
• Assist with payroll file creation related to US Benefits and upload to vendor site online on a biweekly basis
• Complete verifications of employment and employment letters as requested
• Field employee inquiries related to payroll; direct deposit, tax forms, timesheets and more

General HR
• Serve as first point of contact for employee inquiries related to HR, payroll and benefit administration
• Manage data entry for all US employee changes in Ultipro (HRIS) and work with Payroll in order to process these changes in a timely manner.
• Organize and maintain digital employee personnel folders
• Assist with employee contract management via Microsoft Teams, keeping up with various contractual changes and notifying appropriate parties of these changes.
• Work closely with Accounts Payable to raise purchase orders and invoices on a weekly and monthly basis as it relates to staffing, 3rd party payroll, outside employment counsel and outplacement vendors.

Benefits
• Prepare submission and deposit reports for benefit account funding
• Review and track down documentation for mid-year benefits changes
• Assist with performing audits for worker's comp, benefits, and taxes as needed
• Report on new hires, employee status changes, benefit deductions, terminations, etc.

Qualifications:
• Minimum of 2-3 years of HR and payroll experience
• Experience using HR Information Systems (preferably UltiPro)
• Undergraduate degree in a similar or related field and an HR degree or post-grad certificate is an
• asset
• APA, CPP, or equivalent certification preferred

Desired Skills:
• Demonstrable HR experience in a similar role
• Good knowledge of HR processes for the employee life cycle
• Confident using Microsoft packages such as Word and Excel
• High level of attention to detail, and the ability to handle, interpret data and information
• Proactive, positive and self-motivated with a passion for HR and people
• Experience multi-company payroll particularly in California. Multi-state experience is a plus
• High level of discretion with ability to maintain confidentiality requirements
