Role Summary:

The Contracts Administration Coordinator is responsible for the running of the contracts administration for eOne Family Brands around the world for both content sales and content creation as well as assisting the production lawyers in the legal and contractual work of the development and the production of eOne/Hasbro (Family Brands) shows.

Part of this role will also be to assist with the contracts rights management, in particular Rightsline.

This role will take control and be the main point of contact for the smooth running of contracts administration process for eOne Family Brands which will include dealing with any issues and therefore it is expected for the Contracts Administration Coordinator to analyse problems with processes and implement recommendations to generate a positive outcome for the Business, the sales and production teams and Business Affairs.

The Contracts Administration Coordinator will be required and must be confident to communicate with different levels of stakeholders.

Key responsibilities:

Contracts Administration
• Execute the contracts administration and ensure processes are implemented that all areas are completed accurately and on time and these areas include:
• Getting Agreements signed, scanning and naming of files, updating databases, returning hard copies and softcopies, sending out the returned contracts folder as well as distribution e-mails for the eOne and Hasbro catalogue sales and productions
• Being instrumental in setting up the implementation of one process when the catalogues merge and a single new entity will be able to grant the rights across both the eOne and the Hasbro catalogues

Development and Production Legal and Contractual Assistance
• Assisting the production lawyers in the legal and contractual work of the development and the production of eOne/Hasbro (Family Brands) shows, which will include:
• Sending out offers to the talent and agents based on the instruction from the development/production team. Liaising with the relevant production lawyer during the process
• Straight forward drafting and negotiating of talent agreements. Liaising with the relevant production lawyer for the relevant form and information
• Handling NDAs, drafting and trafficking comments, as required, for pitches or talent acquisition
• Helping to organise writers' summits
• Trafficking and being generally involved in script clearance and dealing with design clearance. Liaising with the clearance company and the development and production team. To include reading and assessing the reports and raising queries with the relevant production lawyer where necessary
• Completing other documentation that is production related, e.g. E&O forms etc

Systems Assistance

Rightsline Contracts Management System Assistance
• Be familiar with Rightsline to be able to assist where necessary the Contract & Rights Manager and the sales team
• Be able to cover for Business Ops role for Family to run Availability Reports and review Collision Checks and Rights Check to approve or reject Sales Summary, Sales Deals, Revision and Amendments and input Acquisition Distribution and Production Agreements into Rights Management System

Projects
• Assist SVP, Business Affairs to review potential new systems that will integrate the needs and workflow of the Family Brands Legal and Business Affairs team

To do this role, you will have…
• In depth knowledge and understanding of contracts and the variety of commercial media agreements which relate to the sales and creation of audio visual content
• Ability to draft agreements using a form/template
• Experienced working within Legal and Business Affairs, preferably within the media environment
• Strong understanding of Compliance and how to achieve compliance
• Strong analytical skills and have an in-depth understanding of processes and implementation of processes internally and externally
• Strong communicator
• Ability to work within a team and ability to function autonomously yet communicate laterally and upwardly with ease
• Can effectively prioritize and manage simultaneous tasks to meet deadlines
• Excellent Microsoft Office skills
