THE ROLE

The Sr. Manager, Super Bowl Team Friends & Family, will play a key role in managing the travel operations for one team on our Super Bowl Team Friends and Family program. The program includes hotels, charter flights, ground transportation, guest registration, gifting, ticketing, hospitality events and overall high-level customer service. The Sr. Manager will be responsible for coordinating trip logistics, collaborating with expert leads for each travel segment and managing a staff of 25+ people to execute a successful trip. The Sr. Manager must have strong organizational and attention to detail skills; and meet deadlines in a fast-paced environment. Additionally, will need to showcase excellent leadership skills managing our team members and our client relationships, while maintaining a calm presence and swiftly resolving challenges. This role will split time on the Super Bowl Team Friends and Family Program and our Housing event team in our Dallas office.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
• Manage and build strong client relationships for continued success of the program
• Support procurement of staffing for the program by utilizing internal resources and existing relationships
• Provide excellent team leadership throughout and conduct staff trainings
• Maintain oversight and ensure trip logistics are executed to perfection
• Utilize existing processes and procedures; and continuously seek process improvements where necessary
• Manage vendor relationships for each event to enable longstanding partnerships for years to come
• Ensure overall quality assurance on event through superb attention to detail and communication
• Conduct preparatory meetings in advance of event and daily meetings as necessary
• Attend advance visits to familiarize with program, vendors and customers
• Resolve issues expeditiously, finding win-win solutions for clients, customers and vendors
• Create guest communications and pre-trip travel information, such as the travel packet, email blasts, etc.
• Partner with hotel team to manage hotel relationships, functions, meeting space, meals and overall room inventory
• Collaborate with transportation team to ensure staging, departure and arrival times are in accordance with trip logistics
• Work with hospitality team to host championship-level parties and events that will be remembered for a lifetime
• Layout team's technology needs and work with IT/Tech to ensure all tech solutions are provided for staff and guests
• Plan and distribute guest fulfillment items, for example credentials, gifts, souvenirs, passes, etc.
• Coordinate with Invite to Memory programming leads to incorporate lifelong memories throughout the trip
• Collaborate with teammates to draft wayfinding and signage plan to ensure guests have easily identifiable routes
• Work with charter air department, airlines, airport operations and luggage handlers for seamless charter experiences
• Book staff travel arrangements and request apparel needs
• Keep financial reporting updated in real-time before, during and post-event
• Closeout post-event including reconciliation and payments for vendors and clients

Travel

Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. Travel will include 18+ days in February and an average of 2-3 days per month, for all other months.

QUALIFICATIONS

To perform this job successfully, the candidate must be able to perform each essential duty above at the highest levels. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Required Education and/or Experience, Knowledge, Skills, and Abilities:
• Bachelor's Degree in Hospitality, Sports Management or a related field
• Experience in a management position (minimum of 5+ years), preferably in the sports and/or travel and hospitality industry
• Exceptional interpersonal skills – a collaborative style and ability to communicate effectively at all levels with strong oral, written, and presentation skills.
• Significant experience on at least 3 of the following 5 trip inclusions – charter air, hotels, ground transportation, hospitality events and gifting
