Production Coordinator

Job Description

The Production Coordinator is responsible for this kind of stuff: helping the producer team coordinate television, video, and radio materials, and serving as a backup to the art buyer when they need help with photography-related things. You'll also do things like developing production schedules, organizing assets, sourcing talent, and all kinds of fun paperwork like call sheets, shot lists, and budget breakdowns.

Responsibilities:
• Assist Producer by administering production related paperwork, such as developing vendor agreements, collecting invoices, and purchase orders, as well as reconciliation of expenses and credit card reconciliation forms.
• Ensure that all assets have been legally obtained and are used within the rules of their purchased licenses
• Help get release forms for talent, locations, and art work
• Assist on post production when needed
• Maintaining archives of Final paperwork on the Agency server
• Organizing and on-boarding client provided assets to the server
• Assist in management, planning, execution, and delivery of videos, audio spots, and events
• Assist and help manage budgets for photo shoots, video shoots, and radio
• Sourcing and helping to book production resources and talent (i.e. external producers, directors, models, stylists, editors, animators, researchers, crew) when necessary
• Assist in overseeing shot list and shoot schedule development, travel coordination, shoot setup, on-site coordination, and permits
• Assist in coordinating recording sessions, edits, scout days, and shoots
• File trafficking and delivery
• Tracking and maintaining release forms for clients and shoots
• Help maintain relationship with vendors and content library owners
• Maintain and organize database of audio and video resources
