Job Description
THE ROLE

As the Lodging Coordinator, you will be responsible for supporting all aspects of the Lodging Department operations including hotel research, administrative duties and on-site operations for destination events. The Lodging Coordinator will work directly alongside the Lodging Manager and Director, and with the Ticketing, Finance and Guest Services departments.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
• Develop a comprehensive knowledge of company events and offerings
• Process signed contracts and manage contract details between time of signing and post event
• Create and manage hotel rooming lists
• Work with hotel and Guest Services department on any special guest requests or needs
• Process payments due to the hotels and manage reporting with the Finance Department
• Manage settlement for each event including folio reconciliation and commissions tracking
• Assists with hotel research and adding RFP details to procurements as needed.
• Attend weekly team calls and site visits as needed.
• Meet deadlines and remain in constant communication with direct report.
• Work with the Data team to coordinate changes and ways to improve our system.
• Heavy focus on data analysis and group detail organization in Excel and Microsoft Office Suite

Travel

Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. This position may require up to 20 % travel.

QUALIFICATIONS

Required Education and/or Experience, Knowledge, Skills, and Abilities:
• Bachelor's Degree in Hotel/Business Management, or equivalent experience such as 1-2 years' experience in the hospitality industry or related field.

Preferred Education and/or Experience, Knowledge, Skills, and Abilities:
• Detail Oriented, ability to maintain digital and paper files
• Advanced knowledge of Excel
• Microsoft Office Suite programs
• Professional communication skills
• Mathematical ability to arrange payments for lodging
• Ability to work independently and as part of a team
• Highly Organized
