Position Summary:
• Endeavor is seeking an assistant who will support the Vice President; Global Head of Corporate Events. Aside from providing administrative support to the Corporate Events team, the Assistant will work on the creation and execution of the department's tasks to help support the company's event and activation slate. The position allows for growth and direct interaction with senior executives and key external partners as well as event production and hospitality relations. The Assistant must be able to perform multiple tasks simultaneously associated with assisting in the organization of internal and external events.
• This role seeks an organized, creative and sophisticated thinker to assist in event ideation and coordination. Candidate should be someone who thrives in a fast-paced environment and open to an evolving job description, responding to the needs of the Corporate Events team and the Corporate Communications team at large.
• Some local / domestic travel is required. Extended hours may be necessary during peak event seasons and on larger projects.

Key Responsibilities:
• Supporting event coordination for a slew of Endeavor's properties and international marquee moments.
• On-site staffing at events and activations for check-in and overall support of the hospitality and production teams.
• Maintaining active attendee lists, streamlining invitations and ensuring confidentiality at all times.
• Administrative support for the department: organizing and preparing agendas, materials, and follow-up notes for weekly meetings, facilitating payment to vendors as well as overseeing budgets, and answering phones while scheduling.
• Submitting expense reports in a timely fashion
• Curates and actively manages event calendars, both for the department's events and for industry/cultural events
• Coordinating with the offices of senior management and other department heads to enhance and develop communications of the team.
• Work with Creative team to develop creative materials and assets
• Work with PR/Internal Comms team on event communications (i.e. attendee/guest speaker comms, marketing and social media)
• Assist with internal office events and liaise with points of contacts in all of Endeavor's 20+ offices, globally
• Assist in the execution of events in the WME Screening Room
• Field event ticket requests for internal and external events
• Manages and upkeeps the Events email inboxes
• Organizes event supplies and inventory
• Maintains event spreadsheets and resource documents – i.e. files of sites, hotels, meeting rooms, and associated vendors
• Assists with the production of virtual events on On Location Live / Stream Yard platforms
• Owns and manages internal and external events with budgets of $10,000 or less as the team lead

Qualifications Knowledge, Skills and Abilities:
• Minimum of 1.5 years of general business and administrative experience is required
• Experience working in an agency, event production or hospitality is recommended
• Extensive knowledge of the film, television, media and sports industries highly recommended
• Interest in interior design is helpful.
• Exceptional organizational, prioritization and time management skills with the ability to effectively execute independently toward multiple, high-priority projects in a timely fashion
• Proficiency with Outlook, Microsoft Word, Excel, Power Point (& Google's equivalents), Teams; Zoom, WebEx; as well as event management platforms such as CVENT; and invoicing platforms such as, SAP Concur, is required.
• Demonstrates strong interpersonal skills conveying a positive personal and professional image
• Excellent verbal and written communication skills, including ability to confidently work with all levels of colleagues, consultants, managing directors, senior management, vendors, etc.
• Exudes a hospitality-minded and customer service-oriented behavior especially when responding to employee and client
• Ability to handle challenging situations with poise, understanding and tact
• Consistent, dependable, and accurate in completing responsibilities/tasks
• Meticulous attention to detail and accuracy
