PA (FTC)
Overview
This position will be supporting the VP's with detailed diary management, travel coordination and schedules, as well as any administration duties required across the department/teams.
As with any PA & Team Coordinator position, the roles supported by the PA may change from time to time and require a flexible 'can do' approach.
Responsibilities
• Diary management, coordinating and arranging internal and external meetings, Zoom, video conferences and room bookings
• Greeting clients, guests and occasionally talent when on-site
• Booking both domestic and international travel for business trips and liaising with other local Discovery offices
• Devising itineraries for overseas trips & events, for VPs, and any guests or freelancers travelling or providing services on behalf of Discovery
• Collating and gathering all required travel docs for the VPs inc. visa applications, Covid guidelines/docs, and any other relevant paperwork required for travel
• Supporting guest VPs / Senior Execs when travelling to London and working with their PAs to provide full support and assistance when requested
• Processing and managing VPs expenses/receipts
• Assisting with PowerPoint/Keynote Decks & presentations when requested
• Assisting with IT requests, and onboarding for new starters
• Updating Org charts accordingly
• Assisting with confidential Project documentation as requested
• Raising POs and tracking invoices
• Occasionally assisting VPs with errands, and attending meetings on their behalf
• Provide cover to other PAs during holiday periods
• Other duties as required
Qualifications
• I.T. skills: Google mail/drive, intermediate Excel, Word and PowerPoint skills essential.
• Excellent organisational/administrative skills.
• Diligent, accurate, methodical with a good eye for detail.
• Independent self-starter who can work unsupervised, proactive.
• Remains calm under pressure.
• Flexibility in accepting new and changing responsibilities, as well as strong personal initiative and resourcefulness.
• Take ownership of, and accountability for responsibilities.
• Excellent people and interpersonal skills, good team player.

• Experience and enthusiasm for the TV Industry or a related industry an advantage.
