Overview

Provide high level executive administrative support to the President, HGTV/Food including heavy schedule and travel management, expense reports, sensitive communications, and providing high level support to the broader HGTV/Food content team.
Responsibilities
• Calendar management – handle complex scheduling responsibilities, with exceptional attention to details in a fast-paced environment. Identify and resolve conflicts. Non-stop influx of requests. Ability to prioritize and continually re-invent. Active in coming up with solutions to multiple and overlapping priorities and continually working with teams to find ways to streamline processes and reduce volume. Must be a pro at staying calm under pressure while also handling external clients with friendly composure
• Day- to-day help to keep the meeting schedule on track. Let people know when meetings need to end, juggle last minute requests and/or unexpected emergencies that come up. Make sure meeting attendees have materials they need from decks to video links to water/coffee
• Manage executive's travel schedule, proactively confirming travel plans. Make travel arrangements and prepare and organize itineraries, manage and process expenses, and book conference rooms. Secure car service as needed. Stay one step ahead of all travel logistics and anticipate needs to ensure smooth business trips
• For all presentations it will be expected to schedule rehearsals, assist in preparing decks, and assure the executive has necessary materials for meetings and presentations. Big picture thinking is key. Knowledge of the business needs and priorities is a must as well as ability to create and run Powerpoint decks.
• Amass a working knowledge of network talent, their shows, and their status at the networks in order to best book venues for meetings/meals, prioritize requests, and help manage logistics around their various needs that arise
• Impeccable Organizational Skills, keeping multiple email distro lists up to date and executive's contacts up to date. Proactively update contacts as needed
• Help to build and improve systems and processes network as an ongoing part of the role
• Greet and direct all visitors
• Be comfortable communicating on behalf of the President to C-suite executives, internal associates, and everyone in between, external and internal
• Perform other general office support functions as needed
• This is a 'no job is too big or small' type of role, and requires someone 'on the team' willing to do whatever is needed to support the Executive
• Coordinate meetings with 50+ attendees: prepare agendas, secure and plan space, follow up as appropriate
• Coordinate meetings and offsite/onsite events including but not limited to scheduling, agenda creation, logistics, video conference/light AV setup, space plans, and catering.
• Attend meetings, take notes and track action items as needed
• Serve as a liaison between several various departments
• Discreetly handling confidential and sensitive information is crucial
• Must be in office when executive is working onsite
Qualifications
• 3-5+ years of experience in Executive support required in a media/tech/entertainment company
• You are curious and excited about learning all areas of the business to achieve the highest success within a newly merged media company
• Ability to handle confidential information
• Strong written and verbal skills
• Superior organizational and time management skills with the ability to anticipate, prioritize and fulfill multiple tasks with an acute attention to detail and deadlines always keeping bigger picture in mind
• Ability to work independently, set priorities, and coordinate multiple projects
• Ability to interact professionally, authoritatively and respectfully with internal and external C-level executives, colleagues, and organizations
• Business savvy and excellent interpersonal skills
• Ability to work well under pressure, handle sensitive issues with diplomacy and demonstrate respect for people from all backgrounds
• Knowledge of the Google suite of products and the Microsoft suite (Word, PowerPoint, Excel)

• Bachelor's Degree in Arts/Sciences (BA/BS) Business or related preferred
• Must have the legal right to work in the Unites States
