Job Description

Responsibilities

Responsibilities:

This role will be responsible for supporting delivery of initiatives that will enhance and optimize the current solution and drive a continuous improvement agenda, supporting the co-ordination and administration of all the change activities and project delivery activities to P&C stakeholders and business.
• Support the delivery of training and communications activities related to People & Culture initiatives, calendared campaigns or periodic communications to stakeholders

• Managing the People & Culture (P&C) mailbox & calendar in drafting and sending of branded communications to key stakeholders, responding to requests / emails inbound to the P&C mailbox, managing calendar events/meetings, rooms/Zooms, managing event/meeting attendance; co-ordinating availabilities of key stakeholders and arrangement of meeting webinars, recordings, minutes, notes.

• Management of the communications and calendar branded templates, logos, additional system/tools (e.g. licenses, databases), mail folders, contacts, address / distributions lists, reports and dashboards.

• Liaising with suppliers and vendors for key documents e.g. invoices, expenses etc

• Managing effective document management and administration procedures (Google Drive folders, Drive accesses, document sharing, organisational team charts, team meetings set-up)

• Writing and distributing key meeting minutes, decisions, actions and support in tracking of actions closure and statuses where appropriate.

• Support update/loading of developed training and communications materials related to P&C projects or campaigns

• Conducting research (e.g. venues, suppliers, contacts) and running reports.

Requirements

Requirements:
• Understanding and/or willingness to learn about HR processes and change management

• Clear oral and written communication skills

• Effective organisational skills and ability to prioritise tasks and multitask

• Proactivity and ability to take initiative

• Discretion in managing any confidential or sensitive information or data

• Experience in Google suite products (Drive, Docs, Slides, Sheets, Mail)

• Previous experience in co-ordination roles is desirable

• Right to work in UK
