Job Description

As an External Projects Coordinator, you will be instrumental in the execution of this unique and highly specialized vendor program. In this role, your primary focus will be to coordinate the flow of information among different stakeholders, including client contacts as well as individual translators. You will be monitoring Deluxe and client system dashboards to ensure assignments are managed according to the program expectations and communicate any issues to your functional manager. You will assist with monitoring the accuracy of client billing and translator payments. Through your passion for communication and collaboration, you will empower the translators to fully engage with the program and perform at their best level to deliver high quality translations of unique, high quality original content. You will work cross functionally with Account Management, Linguistic Quality, Payments and Talent Acquisition team and help Deluxe continue to be leader in the localization industry.

Primary Responsibilities:
• First point of contact with the client and Deluxe resources
• Receive updates from the client regarding the program, review with stakeholders and communicate responses back to the client
• Monitor manual requests coming from the client and contacting approved group of translators to book them for respective jobs
• Monitor translator assignments and audit client invoices and translator payments to ensure assignments data 100% between client and Deluxe systems
• Monitor Zendesk tickets and either respond to translator, re-assign tickets to client or escalate tickets internally
• Assist with troubleshooting, and researching translator queries
• Coordinate with the Linguistic Quality department to ensure quality escalations are taken care of and work is being monitored as needed.
• Coordinate with the Talent Acquisition department to ensure resources meet quality standards.
• Monitor metrics dashboards
• Assist with reviewing weekly reports and monthly metrics, and execute on agreed upon corrective or preventive actions, as applicable
• Assist in updating internal documentation to ensure procedures are standardized
• Provide daily handovers to the rest of the project coordination team to ensure around the clock coverage for translator queries, support issues, linguistic queries
• Provide daily reporting to External Projects Manager, as needed

The person
• Energetic and committed
• BA in media, communications or translation (or equivalent), MA in translation is a plus
• Proven experience in editorial, translation or project management
• Background in film or audiovisual production is an asset
• Extensive knowledge of localization

Competencies
• Spanish work permit is required
• Practical knowledge of localization workflows, including subtitling and dubbing
• Excellent command of English, other languages is an advantage
• Excellent oral and written communication skills
• The ability to communicate clearly and professionally with internal as well as external stakeholders
• With clear customer focus, the ability to identify and effectively communicate any issues in project assignments
• The ability to troubleshoot and effectively escalate any concerns
• Flexibility and adaptability to changing priorities or changes in workflow
• Demonstrated ability to manage complex and high-level projects and tasks
• The ability to engage with culturally diverse, distributed team
• Experience in fast-paced, deadline-driven environment
• Strong organizational skills and attention to detail
• Good command of Microsoft Windows systems, Microsoft Office Suite, and Google G-Suite
• Availability to start immediately
