OVERVIEW
The Executive Assistant and EMEA Newsroom Coordinator provides administrative support to CNBC's European Newsroom and scheduling / diary management assistance to Senior Executives within CNBC International's leadership team.

This position manages all travel bookings for EMEA TV outside broadcasts, working closely with CNBC's assignment desk to make travel plans and Newsroom employees to coordinate flight and hotel bookings. The ideal candidate for this position will be a solution focused, highly organised individual that thrives in a fast-paced environment.

KEY RESPONSIBILITIES

Travel bookings for CNBC's European TV teams:
⦁ Working closely with the News and Assignment desk to make travel plans
⦁ Working closely with Broadcast Operations to oversee third party travel plans, ie cameramen and crew
⦁ Support Newsroom employees to book flights or trains, accommodation, and cars if required
⦁ Being the main liaison for NBCUniversal's preferred travel provider, BCD
⦁ Maintaining and updating the travel schedule in a shared planning system
⦁ Managing last minute changes to travel plans
⦁ Leading on best practice planning to reduce and manage travel costs
⦁ Coordinate with Executive Assistants in Singapore and Abu Dhabi re international team's travel plans
⦁ Visa applications for Newsroom employees who are travelling for events / outside broadcasts

Executive Assistance to the VP News & Programming EMEA and the VP News & Programming APAC:

Overseeing the VP News & Programming EMEA's schedule and diary management
⦁ Booking meetings for the VP News & Programming APAC during European working hours (working closely with an EA based in Singapore)
⦁ Admin support and expense management for both VPs

Support the President & Managing Director with admin and in-office logistics in London:
⦁ In-person meeting preparation and set-up, creating and overseeing meeting schedules, hosting external guests and occasional travel support (working closely President's EA based in Singapore)

Managing the European Newsroom's London car service:
⦁ Coordinating with our suppliers for London taxi bookings
⦁ Maintaining strong relationships with suppliers and addressing any issues

Absence Management system administration including:
⦁ Monitoring the logging of sick days for newsroom employees in absence management system
⦁ Liaising with HR Coordinator on general maintenance/troubleshooting of absence management system

General administrative duties including:
⦁ Processing invoices and raising POs
⦁ Liaising with Finance and Satops on invoices, expense and cost allocation
⦁ Liaising with the HR and IT teams for the set-up of new hires and freelancers
⦁ Booking of Newsrooms meetings, securing rooms, setting up virtual and hybrid meetings and refreshments as required
⦁ Annual press card applications
⦁ Maintenance of email groups
⦁ Support with newsroom / CNBC employee events – such as in-office logistics for employee engagement activities, DEI initiatives and social events
⦁ Ad-hoc support with facilities and general office management tasks
⦁ Maintaining newsroom subscriptions

SKILLS, EXPERIENCE AND REQUIREMENTS

⦁ Excellent organisational skills with the ability to handle last minute schedule changes and competing priorities
⦁ Pro-active, confident, enthusiastic individual with excellent interpersonal skills
⦁ Previous experience in a busy PA or EA role, with demonstrated experience of supporting Senior Leaders
⦁ Excellent MS Office and Outlook skills
⦁ A flexible approach, with a solution focused mindset
⦁ Must have a highly professional, discreet approach to handling sensitive or confidential information
⦁ Ability to quickly understand the dynamics of the media business and navigate our global organisation
⦁ An interest and passion for supporting diversity, equity, and inclusion initiatives (desirable)
