The Executive Assistant will provide high-level administrative support to assigned executives through managing and maintaining calendars, screening calls, booking travel, coordinating speaking engagements, expense reports, composing PowerPoint presentations and other duties as they arise. Must have the ability to prioritize and organize the executives' schedules accordingly. The candidate should be a strong communicator, with excellent organizational skills, and high attention to detail. In addition, the candidate works well under pressure, easily adapts to shifting needs, can maintain confidentiality, identifies and resolves problems in a timely manner and develops alternative solutions.
Essential Functions:
• Provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
• Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow.
• Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.
• Plan and orchestrate work to ensure the senior executives' priorities are met, organizational goals are achieved, and best practices are upheld.
• Serve as the initial point of communication for all internal and external requests that come across the executives' desks.
• Draft and edit information for internal and external communication on behalf of the executives –such as presentations and reports.
• Aids in the creation of deck/presentation templates, including sharing of materials, consolidation of presentations, coordination of notes, and liaising with internal contacts for finalization.
• Managing, scheduling and maintaining daily calendar including meetings, conference calls, and appointments; heavy interaction with others via phone (Zoom) and email
• Collect receipts and invoices and prepare high volume of complex expense reports.
• Compile and distribute agendas, documents or presentation materials as needed for both internal and external meetings.
• Coordinate / liaison between the various departments within the company and follow up as needed.
• Manage, coordinate, and arrange senior executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination according to company policy.
• Register and purchase festival and market credentials for executive and/or department attendees.
• Log script, film, or project submissions into the company's rights tracking system.
• Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with third parties.
• Organize team communications and plan events, both internally and offsite.
• Take notes during certain meetings.
• Perform special projects as assigned.
Essential Qualifications:
• Ideal candidate will have previous experience supporting C-Level executives and/or Presidents.
• At least 3 to 5 years' prior experience.
• Must be professional, courteous and diplomatic with internal and external staff
• Must have experience doing complex expense reports for busy executives
• Must have the ability to work with confidential information
• Strong written and verbal communication skills as well as meticulous attention to detail
• Desire to work in a fast paced, evolving and dynamic business
• Ability to work on multiple projects simultaneously and in a cross functional environment
• Works well under pressure while having excellent interpersonal communication skills with all levels of staff. Team-player & collaborative.
• Self-starter with a can-do positive attitude and ''roll up your sleeves'' mentality
• Passion for film, television, & the evolving digital entertainment space a plus
• Bachelor's degree preferred or equivalent work experience
• Proficiency of Microsoft-based software: Outlook, Word, Excel, PowerPoint
• Proficient with Zoom/Teams functions
